Races take place in fragile natural environments. All players involved with trail-running races, runners, organisers, partners, accompanying persons make a commitment to protect the natural equilibrium.

Organisers of trail-running races must do all they can to reduce the negative impact linked to the running of their races. They make a commitment by sharing information and making efforts to educate in order to contribute to the general awareness of the natural environment’s fragility.
Each organiser will identify the environmental risks engendered by their event and propose concrete actions to reduce the risks to the minimum. They will encourage the use of public transport or car-sharing and limit, as much as they can, the use of other motorised equipment.
Each runner makes a commitment to adopt the most relevant behaviour to minimize his or her impact on the terrain through which he or she passes.

Together, the members of the trail-running community act as ambassadors for the promotion and conservation of natural environments.

Simply set up an Organizer member account and pay the annual subscription fee (see the table of subscription fees for the amount due)

Services offered to Organizer member members:

  • Involvement in the life of the association (round-table discussions, discussion groups, questionnaires...);
  • Greater visibility in the international calendar of future races;
  • Access to the race evaluation service for any number of races throughout the period of membership;
  • ​Promotion of your races on our website and the social networks;
  • Assistance with the development of a Health and Safety Policy for your races;
  • Access to tracedetrail.fr tools developed specifically for editing, enhancing race routes and uploading them to your website.

Payment can be made from your ITRA Organizer member account: “My page” > “Information” > “Membership”.

It is possible to pay using a Carte Bleue or bank transfer.

How do I calculate my Organizer member subscription fee due?

Your Organization member subscription fee is based on the total income per annum from registration fees paid by runners for all your races (not only those for which you have requested evaluation).

When you have calculated this sum, refer to the table of subscription fees.

There is an error in the results shown for my race. What should I do?

The simplest solution is to send us an email at contact@itra.run. Your Results file will be updated and we will upload it on your behalf.
If the error relates to a single runner and concerns only the runner's Personal information (i.e. not the runner's time or ranking), you can ask us by email to make the necessary amendment.

Alternatively, you can also direct individual runners to the Runner FAQ where they can make their own amendment.

We would remind you that the results from your races or event should be entered on the ITRA site as soon as possible so that your results can, in turn, be forwarded in a timely manner to all the media and also so that runners can access their individual results and check the points they have gained from your race.

Simply request an evaluation of your race (NB: to obtain points, the race must be over a distance greater than 20 km).

Payment of your ITRA Organizer member subscription fee must be up to date (or the fee for a single evaluation must have been prepaid) in order to upload routes and to request an evaluation.  
In addition, your file must be a .gpx file not exceeding 5 Mb.
If this is the case yet you are still unable to upload your file, try using a different web browser.

Registering a race as a qualifying event for the UTMB is very easy:
  • Log in to your ITRA account.
  • Click on "My page" then on "Race management".
  • Find the line listing your race, where you will see the ITRA number.
  • Copy the ITRA number and paste it into the UTMB qualification page, then follow the instructions.

A user account is required.  To create a user account, follow the instructions according to the guidelines for setting up an Organizer member account.

Evaluation is not a free service and you must choose between becoming an ITRA Organizer member and paying the fee for a single evaluation:
  • To become an ITRA Organizer member (paying) you must pay an annual ITRA subscription fee based on your total annual revenue from registration fees (see above).  After paying the subscription fee, you can request as many evaluations as you wish, throughout the year, for any trail races that you organize.
  • Should you not wish to become an ITRA member, (free Organizer member account), you can request the evaluation of a race for a fee of 100€ per race.

The subscription fee due is shown in the table of subscription fees (# subscription).
Whichever your preferred option, go next to your space and click on "Race management"; you will now be able to create your events and race, provide the information and the GPX route (which must be of a suitable quality!) required for an evaluation to be made. 
You can also link your ITRA account to your tracedetrail.fr account by going into "Race management" (it is easier to attach .gpx files at the same time as creating races).  Don't forget to click on Save and then on "Request race evaluation".

You can request evaluation of the same course as many times as you wish (however, in the event of abuse of this service, we reserve the right to reconsider your membership or your evaluation fee).

For a realistic evaluation it is important that the route supplied be certifiable.

What is a "certified" route and how can I make a route certifiable?

To obtain a more accurate evaluation (and maybe more ITRA points), your track must be certified. A non-certified race still earns ITRA points, but the methods of calculating elevation gain & loss and distance are less precise than in the case of a certification. Therefore, it may lead to an underestimation of the distance and elevation gain/loss. In order to be certified your file must meet the following criteria:
  • maximum mean distance between 2 points: 12m
  • maximum distance between 2 points: 200m 
  • at least 90% of the distance must show the altitude and include time stamps (measured in situ using a recent and properly calibrated GPS device).

We apply specific methods and thresholds according to the characteristics of your route. These may differ from your methods and thresholds.

The method for evaluating GPS routes evolves in line with technical progress.  

For example, changes have been implemented for 2018.  It is therefore quite conceivable that the evaluation of a route may be evaluated differently (in particular with respect to the altitude profile) in 2018 from the same route in earlier years.

 


My route is unchanged since last year. Can I reuse the data? 

Of course.  Click on "Race management" in "My page"; follow the instructions given and supply the required information.

You may copy the route from your space on tracedetrail.fr and re-use it on your ITRA space for the new edition of your race.  For this, your tracedetrail.fr account must be linked to your ITRA account: #tracedetrail.

You may also upload the previous year's .gpx file from your tracedetrail.fr space and import it directly when you create or renew your race on your ITRA space.

The tracedetrail.fr account which is available to Organizer member of ITRA allows you to export your ITRA-evaluated races to your tracedetrail.fr account.

To link your ITRA account to tracedetrail.fr, please use the following instructions:

  • Log in to your ITRA Organizer member account.
  • Click on "My page" then on "Race management  XXXXXXX​"
  • If you don't have a tracedetrail.fr account, first click on "Create my free tracedetrail.fr account"
  • Next, on the same page, link your tracerdetrail.fr account by entering your details (your ITRA account if you have carried out the above step, otherwise your tracedetrail.fr account) in the indicated field.

When you have carried out the above steps, return to your ITRA account by clicking on "My page" again.

From now on, each time you want to use your free tracedetrail.fr account (using your ITRA membership), you need only click on "Route management XXX" in order to reach your tracedetrail.fr account.

Using your tracedetrail.fr account, click on the left-hand menu and then on "Create a route" > “Expert mode”.

Next, on the right, click on "import my course" and import your .gpx file.

Then click on "Save my draft" and finally on "Import my draft" as many times as there are laps to be added to your course.
